Club and Student Organization Resources

Student Event Planning

  • Event Registration Form
    • You must complete this form for all events hosted by student groups on campus. It consolidates several internal processes, including flyer approval, room reservations, permits, and requests for Facilities or IT support. 
  • Reimbursement Process and Forms
    • All reimbursement packets must be submitted by the treasurer or budget/finance officer of your student club or organization. Completed packets should be emailed to Student_Affairs@kgi.edu. Packets should include:
    • All accurately submitted reimbursement packets will take 4-5 weeks to be processed and reimbursed by the Finance Department. If you do not complete your reimbursement in 60 days, you will need to complete and submit a W-9 Form.
  • Room Reservations
    • Building 517 - Student Affairs Room Reservation
      • The study spaces in the 517 Lobby are available for students to use and reserve. However, these rooms are utilized by Career Services and Student Affairs for various programming. As such, prior approval is required to reserve these spaces.
    • Campus Room Reservation Guidance Document
      • Students are able to reserve rooms independently by following the provided instructions. Room reservations for registered events must include relevant event details as part of the event registration form workflow and should also be added to the KGI Master Calendar. Liability and Release Forms

  • KGI Liability Waiver
    • If your campus event or student activity requires liability waivers, please contact Student Affairs to request the appropriate forms. All guests participating in on-campus events are required to complete a liability waiver prior to the event.
