Student Event Planning
- Event Registration Form
- You must complete this form for all events hosted by student groups on campus. It consolidates several internal processes, including flyer approval, room reservations, permits, and requests for Facilities or IT support.
- Reimbursement Process and Forms
- All reimbursement packets must be submitted by the treasurer or budget/finance officer of your student club or organization. Completed packets should be emailed to Student_Affairs@kgi.edu. Packets should include:
- Ad Hoc Payment Form (keep as digital and fillable copy)
- Itemized receipt(s)
- Roster of attendees (if seeking reimbursement for food purchase)
- Missing Receipt Form (if necessary)
- All accurately submitted reimbursement packets will take 4-5 weeks to be processed and reimbursed by the Finance Department. If you do not complete your reimbursement in 60 days, you will need to complete and submit a W-9 Form.

- Students may reserve KGI spaces by using the resources below. These documents outline reservation policies, approved spaces, and instructions for submitting requests through Outlook or reserving Building 517 study rooms.

- Comprehensive overview of reservation policies, available spaces, and instructions for both Building 517 reservations and event-related room requests.
- Reserving Meeting Rooms – Outlook Job Aid
- Step-by-step instructions for accessing Outlook and submitting a room reservation. Room reservations for registered events must include relevant event details in the event registration workflow and should also be added to the KGI Master Calendar.
- Building 517 - Student Affairs Room Reservation
- Study spaces in the 517 Lobby are available for students to use and reserve. However, these rooms are also utilized by Career Services and Student Affairs for programming; therefore, prior approval is required.

Liability and Release Forms
- KGI Liability Waiver
- If your campus event or student activity requires liability waivers, please contact Student Affairs to request the appropriate forms. All guests participating in on-campus events are required to complete a liability waiver prior to the event.
